Sales

Sales covers what you sell and how you bill for it. Use it to keep your customers and products in order, create invoices and send them, record payments, and set up recurring billing.

Turn sales on

Open Settings, then Workspace features, and switch on the sales areas you use:

  • Enable Customer: people and organisations that have bought from you.
  • Enable Product and Enable Inventory: what you sell and how much of it you have.
  • Enable Order: orders from customers.
  • Enable Invoice: invoices, invoice templates and recurring invoices.
  • Enable Payment: payments, including recurring payments.
  • Enable Contract: contracts with customers.

Customers

A customer is created automatically when you win a deal with a contact in marketing. The same customer is used for every later deal with that contact. Orders and invoices are linked to the customer, so you can see a customer's history from one place.

Products and inventory

Each product has a type, a unit and an availability:

  • Type: Physical, Digital or Service.
  • Unit: Each, Pack, Box, Dozen, Kg, G, Lb, Oz, Liter or Ml.
  • Availability: Available, Out of stock or Discontinued.

Inventory records how much of each product you have on hand.

Orders and contracts

An order is what a customer has bought, made up of one or more products. A contract records the terms you agreed with a customer, including any renewal options.

Invoices

Creating an invoice

Open the invoice designer (/v1/invoice/designer) to create an invoice. Choose its type:

Invoice, Receipt, Proforma, Credit note, Debit note or Quote.

  • The invoice number is assigned for you when you create the invoice. You cannot type it in.
  • Choose a tax type for each line: Tax, VAT, GST, PST, HST, QST, Sales tax or Service tax.
  • Choose payment terms: Due on receipt, or Net 7, Net 10, Net 15, Net 30, Net 45, Net 60 or Net 90.

To reuse a layout or a set of defaults, save it as an invoice template.

Sending and tracking

You can download an invoice as a PDF, and you can send it by email from its send page (/v1/invoice/send/:id). Sending an invoice marks it as Sent.

An invoice moves through these statuses:

Status Meaning
Draft Not yet sent.
Sent Sent to the customer.
Paid Paid in full.
Overdue Past its due date and not paid.
Cancelled Cancelled.
Refunded The amount was refunded.

The invoice overview (/v1/invoice/custom-home) shows statistics for your invoices.

Payments

Record each payment you receive, along with its status. The payment overview is at /v1/payment/custom-home, and the payment designer is at /v1/payment/designer.

Recurring invoices and payments

Use a recurring invoice or recurring payment when you bill the same amount on a schedule, such as a monthly subscription. Set the start and end dates and how often it repeats. BunnyCRM checks its recurring records once a night and creates the invoices and payments that are due.

Tips

  • Use the payment terms your customers agreed to, and keep them the same across invoices, so overdue invoices are easy to spot.
  • Keep product prices and units up to date before you create an invoice.
  • Check the invoice overview once a month to see what is paid, sent and overdue.
